Selecting And Tagging Records
On a daily basis, as a manager, you may need to
select a number of records to process. Perhaps
you want to quickly print a list of specific contacts
or transactions. Any number of records may be
tagged and displayed, printed, deleted or modified
in one operation.
Selecting and tagging records is a management
tool. Several issues come into play when using
this function. If you tag a large list of debtors, for
example, perhaps to change the debtor status,
is it possible that an operator has some of these
tagged debtors in their WIP List? Is it possible that
someone is working on one of the accounts that
you intend to process? As management, your
responsibility is to try not to interrupt the operators'
work. You do not want to process an account that
someone is trying to use.
To make sure no one will be affected when you
select and tag a large number of records to process,
you can sign into Collect! as a single user. Not only
does this assure you that no other operator will be
affected, but the process generally takes a tenth of
the time to complete when multi user functions are
out of the way.
You may also complete the process prior to your
operators signing in. Perhaps, you want to tag
older SKIP accounts and schedule a review.
Select and tag the accounts and assign them to
the appropriate operator before they arrive at
work. Quite often, it is more efficient to schedule
work ahead of time. With a little planning, you will
minimize interrupting the rest of your users.
There are many ways to select and tag records.
For example, if you want to select only active debtors
with status SKP, select Browse from the top menu,
and from the drop-down menu select Active Debtors.
This displays only ACTIVE accounts. As you become
more familiar with these tools, you will be able to
manage many accounts with just a few keystrokes.
The report writer can tag records for you. This is a very
flexible and efficient way of tagging, or setting flags on
records to allow easier tagging afterwards. These features

The Import/Export module can tag debtor accounts also.
When debtors are imported, they are automatically
tagged so that you can process these newly imported
accounts.
